Instructional Faculty Reappointment and Promotion Processes for Chairs & Staff

Guidance for academic unit chairs and staff for reappointments and promotions of multiyear lector- and lecturer-track faculty.

Reappointment reviews

Reappointment reviews for multiyear lector- and lecturer-track faculty are conducted in the penultimate year of their appointment.

The Teaching Resource Advisory Committee (TRAC) must approve all reappointment reviews in advance. The relevant dean will inform you which of your instructional faculty are up for review.

The format for these reviews alternates between a full reappointment review (i.e., with a review committee) and a chair's reappointment review (i.e., with a single reviewer rather than a committee), subject to the following rules:

  1. A faculty member's first reappointment review must be a full reappointment review.
  2. A chair's reappointment review must be immediately preceded by either a full reappointment review or a successful promotion review.
  3. A chair's reappointment review requires the chair's affirmation that the department and candidate are not better suited by a full reappointment review.

Your relevant dean and the dean of diversity and faculty development are available to discuss instructional faculty review processes and timing.

Full reappointment review

Notification of instructional faculty up for review

The relevant dean will send an email to the academic unit chair and staff with a list of instructional faculty who must undergo a full reappointment review.

Review candidate's materials

Candidate uploads the following materials directly into Interfolio case as directed in the materials request letter. Academic unit staff review for completeness.

 

- a statement indicating your interest in being reappointed and describing your professional accomplishments, activities, and goals

- an updated academic CV

- all syllabi from the past 5 years to which you have substantively contributed

- any additional materials you would like your academic unit and the Teaching Resource Advisory Committee (TRAC) to take into account

 

Academic unit staff upload candidate course evaluations for the eight most recent semesters (excluding summer terms and terms with no evaluations available) in reverse chronological order. Access evaluations from OCE Faculty Dashboard, selecting OCE TAC Report on the top right-hand corner of the page. Save course evaluations as PDF with naming convention [LastName]_[CourseNumber]_[Semester][Year].

Academic unit committee review

Academic unit review committee schedules classroom observations, considers course evaluations, reviews candidate dossier, and consults as necessary with faculty leadership within and beyond the unit as appropriate (including the Director of the Center for Language Study for lector-track faculty).

 

By the end of March, review committee votes on reappointment.

 

Review committee chair prepares the relevant departmental committee report and sends to academic unit chair and staff.

 

Academic unit staff upload report to Interfolio case under Committee Documents.

Academic unit staff refer to the FAS chart of required documents, submit the listed materials to the Office of Faculty Administrative Services (OFAS) at faculty.admin@yale.edu, and process the reappointment in Workday.

Chair's reappointment review

Note: The candidate may request to have an academic unit ladder faculty member other than the chair conduct this review. They may also request a full reappointment review if they believe it would better serve them and the academic unit. Either request must be made via email to the relevant dean (see above), with a copy to fas.dean@yale.edu no later than November 15.

Notification of instructional faculty up for review

Chair reviews candidate

Chair (or designated ladder faculty member) considers course evaluations, reviews candidate dossier, and consults with heads of other programs and units, as appropriate, on all extra-departmental activities. Classroom observations are optional.

 

By the end of February, chair meets with candidate to discuss performance, accomplishments, and goals.

Academic unit review

Academic unit staff send case forward in Interfolio to eligible voting faculty (see Yale Faculty Handbook section IV.F.1).

 

Eligible faculty review, meet, and vote on reappointment via secret ballot.

 

Academic unit staff record vote on department faculty vote form and upload to Interfolio (setting access to Administrator Only).

Promotion reviews

Promotion reviews of multi-year instructional faculty are authorized by the Teaching Resource Advisory Committee (TRAC).

Instructional (lector- and lecturer-track) faculty in a multi-year appointment may be considered for promotion.

No instructional faculty member may be reviewed for promotion more than once in any three-academic-year period.

An instructional faculty reappointment review cannot be converted midstream into a promotion review at the request of the candidate, review committee, or department faculty; rather, consideration for promotion must be approved by TRAC at the outset of the review as described below. 

Your relevant dean and the dean of diversity and faculty development are available to discuss instructional faculty promotion processes and timing.

Lector to Senior Lector I

Given that the rank of lector is limited to a maximum of six years (all terms combined; see Yale Faculty Handbook, section IV.I), a lector must undergo a successful promotion review no later than the fifth year in that rank, provided TRAC identifies sufficient curricular need and available funding for the position.

Senior Lector I to Senior Lector II

A senior lector I in a multi-year appointment may be considered for promotion to senior lector II after completing four years in the rank of senior lector I. In unusual circumstances, promotion may be considered earlier, if authorized by the FAS Dean’s Office. Typically, the promotion review coincides with a reappointment review.

Lecturer to Senior Lecturer

Typically, the promotion review occurs in the penultimate year of an appointment (in lieu of a reappointment review). In unusual circumstances, promotion may be considered earlier, if authorized by the FAS Dean’s Office. 

Senior Lecturer to Senior Lecturer II

A senior lecturer in a multi-year appointment may be considered for promotion to senior lecturer II after completing four years in rank of senior lecturer. Typically, the promotion review occurs in the penultimate year of an appointment (in lieu of a reappointment review). In unusual circumstances, promotion may be considered earlier, if authorized by the FAS Dean’s Office.

Promotion in the instructional faculty ranks

Request promotion review

Lector- or lecturer-track faculty member seeking promotion provides CV to academic unit chair and discusses potential for promotion.

 

If chair and other eligible voting faculty (see Yale Faculty Handbook section IV.F.1) agree the candidate meets the criteria for promotion, chair sends candidate CV and brief justification for promotion review to the relevant dean.

 

TRAC considers promotion request and academic unit is notified of approval.

Select referees

Academic unit chair consults with the review committee to identify suitable referees. The final dossier must include letters from appropriate faculty either internal or external to Yale, depending on the candidate’s experience. Members of the review committee may not serve as referees. 

Lector to Senior Lector I: minimum 2 letters either internal or external to Yale

Senior Lector I to Senior Lector II: minimum 2 letters internal to Yale and 2 letters external to Yale

Lecturer to Senior Lecturer: minimum 3 letters either internal or external to Yale

Senior Lecturer to Senior Lecturer II: minimum 4 letters either internal or external to Yale

 

Chair (supported by academic unit staff) submits a proposed list of referees to the relevant dean with a copy to fas.dean@yale.edu

 

Dean works with the academic unit chair to approve the referee list and sends an approval email to the academic unit chair and staff with a copy to fas.dean@yale.edu.

Solicit referee letters

Academic unit staff send the provided referee request email to the referees as soon as possible after receiving approval of the referee list from the relevant dean. These initial messages must be sent by email, and the candidate’s CV should be attached. 

Review candidate's materials

Candidate uploads the following materials directly into Interfolio case as directed in the materials request letter. Academic unit staff review for completeness.

Send materials to referees

After the candidate’s dossier is complete and ready to share, academic unit staff send the provided referee instructions letter to referees who have agreed to write. These letters should be sent through Interfolio, and all materials submitted by the candidate should be attached for the referees to review.

Academic unit committee review

Academic unit review committee schedules classroom observations, considers course evaluations and referee letters, reviews candidate dossier, and consults informally with faculty leadership within and beyond the unit, including the Director of the Center for Language Study for lector-track faculty, as appropriate. 

 

By the end of March, the review committee votes on promotion. 

 

Review committee chair prepares the relevant departmental committee report and submits it to the academic unit chair with a copy to staff. 

 

Academic unit staff upload the report to Interfolio under Committee Documents.
