These FAS-specific guidelines should be used as a reference when processing faculty hires in Workday. Please refer to the Workday training guide Hiring or Contracting Academics for the full process.

Pre-Hire Process

When creating the pre-hire (if you have determined that one does not already exist), be sure not to skip adding the candidate's degree information. You will need to include the highest degree earned, the year it was earned, and the institution. Please note that PhD stands for Doctor of Philosophy and will be the correct degree for MOST faculty hires. Refer to the candidate's CV for the information.

Note: if you do not enter the degree information when creating the pre-hire, you will need to add it once the hire has been fully approved by your operations manager and OFAS.

Hiring Process

Hire an Academic Appointee (non-contract)

Annual Work Period (AWP) for ladder and full-year instructional faculty will be 9 Month AWP 9m - September (September 1 - May 31). When selecting the AWP for single-semester instructional faculty, be sure to choose the option that includes "9m".

Disbursement Plan Period (DPP) for ladder and full-year instructional faculty will be 12 Month DP - July (July 1 - June 30). For single-semester instructional faculty, choose the corresponding DPP that encompasses their appointment term.

Add Academic Appointment

Track Type for ladder faculty is Ladder >> FASTAP 2016. Track Type for instructional faculty (including Professor in the Practice) is Non Ladder - Teaching >> Teaching.

Be sure to enter the End Date of the academic appointment for any non-tenured ladder or instructional faculty member.

The Academic Review Date is July 1 of the penultimate year of the term appointment. Enter this for any non-tenured ladder or multi-year instructional faculty member.

For ladder faculty, you must enter the tenure status (term for Assistant Professor; tenure for Associate Professor with Tenure or Professor) and either a probationary end date or tenure award date. For all non-tenured ladder faculty, the probationary end date is the tenure clock end date listed in the candidate's offer letter. For tenured ladder faculty, the tenure award date is the start date of their ladder appointment at Yale.
